From rate request to booked order
Winning a sharp freight rate is a chain of steps: request it from agents, process, check, send, book and place the order. For Cargocare Netherlands we set up that whole chain as one workflow — automated where possible, with a human at the moment that counts.
The situation
Staying competitive on freight rates means a lot of back-and-forth: requesting rates from agents, collecting and comparing answers, preparing an offer for your customers, and after a 'yes' creating the order and pushing it to the supplier. Doable separately, but together it costs hours and things easily slip through.
Speed wins bookings here. Whoever gets a sharp, ready-to-book rate to the customer first takes the order. We pulled that whole cycle out of loose emails and manual steps and turned it into one monitored workflow.
The whole rate cycle, in seven steps
We didn't take over a single task, but the complete chain — from requesting rates to the order landing at the supplier. Every step is designed and monitored, with the human review right where judgement counts: the price.

One click in the email, and the booking runs
The customer gets a clean, ready-to-book rate in their inbox. One click on the price and the booking is set — after which the system automatically creates the order and pushes it to the supplier.

The customer doesn't have to call or email — the price in the mail is the booking button.
The order creates itself
After the click, a task is created automatically to set up the order, with all the details attached.
Straight to the supplier
Once the order is set, it goes to the right supplier without an in-between step.
As flexible as you need
No straitjacket: every step is set separately. Automated where possible, by hand where you want — and that differs per process step, per agent and per customer.

Per process step
Decide which steps run automatically and where a human looks first — you switch the review step on or off.
Per agent
Which routes, which contacts, how quickly to follow up: set separately for each agent.
Per customer
Who's on the rate list, what markup or margin applies and in which language the mail goes — tailored per customer.
In development: finding new customers itself
The next step we're building: AI that searches the internet for interesting prospects, so they too can receive the right rate list. That grows not just the speed of the cycle, but the number of parties you reach with it. (Not live yet — part of the roadmap.)

AI runs the cycle, the human approves the price
AI does the repetitive work: requesting rates, processing answers, following up, drafting the email, creating the order and pushing it on. The human does the one part that counts: assessing and approving the price before anything goes out. That keeps both speed and a grip on your margin.
The result
A rate cycle that largely runs itself: a sharp rate to the customer faster, less manual work, and no order left waiting. Responding faster means winning more bookings — better service, and because the chain runs automatically, at a lower cost.
